Steps on how to use the Yearly Goal Planner:
Step 1: Setup
📌 To set up your multi-property rental tracker, go to the Start tab.
📌 Changes made here will auto-populate throughout the spreadsheet.
Step 1.1: Starting month & year (required)
📌 The Overview tabs and charts built into this template are designed to include data for 12 months.
📌 To make sure that the reports show the correct 12-month period, you have to choose the starting month and year.
📌 To select the starting month & year, simply double-click on cell G3 in the Start tab.
📌 Select year and month from the pop-up calendar (select the day of your first income/expense transaction, 1 January 2023, for example).
📌 Or, you can enter the starting date manually in the cell G3 (use the format MM/DD/YYYY).
📌 For example, 01/01/2024.
Step 1.2: Property names, rental channels & expense categories (required)
📌 All the Overview tabs group your income and expenses by property, rental channel and expense category.
📌 You can add up to 20 properties, rental channels & expense categories.
📌 Enter your properties in the Property Name table (cells B7 to B26).
📌 Purchase Price column is optional, fill it in only if you’d like to calculate the cap rate for each property.
📌 Enter your rental channels in the Rental Channels table (cells E7 to E26).
📌 Then enter your expense categories in the Expense Categories table (cells G7 to G26).
Step 1.3: Profit goals (optional)
📌 Monthly profit goals will be shown in the Monthly Overview & Profit Overview tabs.
📌 This could be helpful if you’d like to compare your profit goals to the actual profit.
📌 Enter your monthly profit goals in the Profit Goals table (cells J7 to J18).
📌 The annual profit goal is calculated automatically. Please do not type over this cell.
Step 2: Income tab
📌 Now you can start entering your transactions into the Income tab.
📌 All the monthly and annual totals will be calculated for you and can be found in the Monthly and Annual Overview tabs.
📌 Required columns are:
– Property: Select one of the properties from the dropdown menu.
– Channel: Based on the rental channels you set up in the Start tab, you must select one channel from the dropdown menu.
– Check-in: double-click on the cell to select the check-in date from the pop-up calendar.
– Rental Income: Enter the total rental amount.
💡 Note: Charts and tables in the Overview tabs won’t update if at least one of the 4 required columns is not filled in.
Required columns for each transaction are highlighted in red.
Step 3: Expenses tab
📌 Now you can start entering your transactions into the Income tab.
📌 All the monthly and annual totals will be calculated for you and can be found in the Monthly and Annual Overview tabs.
📌 Required columns are:
– Date: double-click on cell to select a transaction date from the pop up calendar. Or, enter the date manually using the format: MM/DD/YYYY.
– Property: Select one of the properties from the dropdown menu.
– Amount: Enter the total transaction amount.
– Category: Based on the categories that you set up in the ‘Start’ tab, you have to select one of the income streams from the dropdown menu.
📌 Note: Charts and tables in the Overview tabs won’t update if at least one of the 3 required columns is not filled in.
Required columns for each transaction are highlighted in red
Step 4: Income Overview tab
📌 The Income Overview tab is completely automated, it will take all the data you filled in the Start & Income tabs.
📌 Note: Please do not type in this tab.
📌 In the Income Overview tab you’ll find the following information:

- – Average monthly income
- – Income by rental channel
- – Income by property
Step 5: Expenses Overview tab
📌 The Expenses Overview tab is completely automated. It will take all the data you filled in the Start & Expenses tabs.
📌 Note: Please do not type in this tab.
📌 In the Expenses Overview tab, you’ll find the following information:

- – Average monthly expenses
- – Expenses by category
- – Expenses by property
Step 6: Profit Overview tab
📌 The Profit Overview tab is completely automated. It will take all the data you filled in the Start, Income & Expenses tabs.
📌 Note: Please do not type in this tab.
📌 In the Profit Overview tab, you’ll find the following information:

Step 7: Monthly Overview tab
📌 The Monthly Overview tab is completely automated, it will take all the data you filled in the Start, Income and Expenses tabs.
📌 Note: Please do not type in this tab.
📌 To select the month, click the small arrow on the right side of cell B8.
📌 Then select one of the months from the dropdown (they’ll update depending on the year & month chosen in the Start tab).
📌 Here you’ll find the following information for a selected month:

- – Profit goal
- – Actual profit
- – Profit margin
- – Income by rental channel
- – Income by property
- – Expenses by category
Step 8: Property Overview tab
📌 The Property Overview tab is completely automated. It will take all the data you filled in the Start, Income, and Expenses tabs.
📌 Note: Please do not type in this tab.
📌 To select one of the properties, click on the small arrow on the right side of cell B6.
📌 Select one of the properties from the dropdown menu.
📌 Here you’ll find the following information for a selected property:

- – Actual profit
- – Profit margin
- – Average monthly profit
- – Purchase price
- – Cap rate
- – Income by rental channel
- – Expenses by category
Step 9: Protected cells
📌 Some of the cells have been protected in this spreadsheet.
📌 This is to make sure that the formulas that make the overview tabs work correctly cannot be accidentally deleted or overwritten.
📌 If you accidentally type over the cell that is protected, you’ll see a warning. Simply click Cancel.
